JOB SUMMARY
We are seeking a Provider Support Assistant to perform administrative responsibilities in support of one or more physician(s) and/or advanced provider(s).
JOB DUTIES AND RESPONSIBILITIES
Answer telephone calls, take and deliver messages to physician, clinical staff and others. Report obtained medical information from patients and referring physicians accurately, completely, and timely. Disseminate messages according to practice communication standards.
Performs various appointment and access related duties to include but not limited to, scheduling, cancelling, rescheduling, general appointment information, and directions. Utilizes multiple technology applications and systems to perform scheduling tasks such as Maestro Care (Epic), Outlook, QGenda, and iQueue.
File and retrieve records in accordance with established procedures and filing systems; research lost or missing records in accordance with established procedures.
Perform clerical typing tasks involved in processing varied office materials such as form letters, requisitions, memoranda, and reports or summaries. Maintenance of CVs and Scholars@Duke profiles. Responsible for submission and tracking of physician reimbursement requests.
Coordination of the visiting scholar process for the faculty supported. Schedule or arrange activities effectively; make and confirm travel arrangements as necessary; make appointments. Coordinate arrangements for seminars and conferences and establish appointments, meetings and speaking arrangements.
Coordinate services across multiple Duke Health locations, departments and providers. Send and collect referrals, patient records and other documentation as requested by providers.
Professionally and effectively communicate verbally and in writing with patients, referring providers, colleagues and Duke Providers. Compose letters and statements independently requiring application of department policies and procedures.
Apply knowledge and skills to resolve administrative problems. Responsible for ordering supplies and distribution of faxes.
JOB ELIGIBILITY REQUIREMENTS
High school diploma or equivalent education required.
One-year experience of clerical or general office support OR clinical support required.
Experience with MS Office Suite is preferred.
Ability to communicate effectively with different groups/individuals.
Experience with MaestroCare/other EHR is preferred.
JOB HOURS
The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
