Job Title: Administrative Assistant - Radiology Department
Location: Methodist Hospital
Schedule: Wednesday, Thursday, & Saturday | 10:00 PM - 8:30 AM (Up to 30 hours/week)
Status: Benefits Eligible
Training Period: 6 months with potential of working 1 day remote upon successful completion of training
This job description of the Administrative Assistant role describes the critical responsibilities in supporting division operations and executing key administrative functions. This support structure enables radiologist and clinical staff to operate at the top of their license, thereby optimizing workflow efficiency and enhancing patient care delivery.
Key Responsibilities:
- While on-site greet visitors, staff and physicians as they enter the reading room
- Triage incoming calls for radiologist to review and/or approve.
- Facilitate peer-to-peer communication (phones/emails/various software platforms)
- Ensure continuous monitoring, prompt addressing and timely resolution of all tasks identified on the PowerConnect tracking board
- Place outgoing calls and/or messages to other physicians, residents, etc. as directed by radiologists
- Fulfill radiologist requests for outside reports and images from outside facilities
- Send and receive fax (via Rightfax) information/requisitions and handle accordingly
- Utilize Fuji Synapse RIS, PACS, Cerner, Powerscribe, Powerconnect, Diagnotes, Teams, Powershare, Qgenda and internet for daily tasks
- Answer all incoming calls within 2 rings
- Review emails, Teams messages, and voicemails daily
- Send/receive fax information via Rightfax/requisitions and handle accordingly
- Assist radiologist with IT issues as necessary - place and follow up with work tickets with IT helpdesk
- Load CD imaging from outside sources as necessary
- Provide coverage to other reading room locations during breaks, lunch, and during absence
- Monitor Pipeline/Synapse work list for necessary status changes and/or wrong entries to list for other departments.
- Call environmental services as needed for reading room facility needs
- Work collaboratively with all departments to ensure seamless and improved patient experience
- Regularly restock the room with necessary items including tissues, sanitizing wipe and hand sanitizer
- All clinical admins will have access, and a responsibility monitor the Stroke Rooms
Qualifications:
* High School Diploma/GED required.
* Requires 0-3+ years relevant experience; previous administrative experience preferred.
* Experience with matrix organization and complex work environment a plus.
* Requires basic proficiency in MS office (Word, PowerPoint, Excel).
